Your invoice is ready. Now imagine it built straight from the booking
Generic invoice tools bill a flat rate. A forwarder juggles ocean and air linehaul, drayage, THC, customs brokerage, and port disbursements against one HBL. CargoEZ assembles all of it into the client invoice automatically, with service fees and pass-throughs already separated.

What is a freight forwarder invoice?
A freight forwarder invoice is the bill a forwarder sends a client for arranging a shipment. It covers the transport plus every service and disbursement along the way, across modes.
It is not a trucking invoice (a flat point-to-point rate) and not a commercial invoice (which states the value of the goods for customs). A forwarder invoice itemizes ocean or air freight, drayage, terminal handling, customs brokerage, and documentation, and it keeps your service fees separate from the port and customs costs you advance on the client's behalf.
What a freight forwarding invoice must include
Forwarder identity: company name, address, tax ID, and FMC / IATA / NVOCC number where it applies.
Invoice identifiers: unique invoice number, issue date, and payment due date (for example Net 30).
Bill to: the client (shipper, consignee, or third party) and their AP contact.
Shipment references: HBL and MBL numbers, booking, container and seal, customs entry, and PO.
Routing: port of loading and discharge, vessel/voyage or flight, ETD/ETA, and chargeable weight or CBM.
Itemized charges: ocean/air linehaul, drayage, terminal handling (THC), customs brokerage, documentation (B/L, AES), and any demurrage or detention.
Service vs pass-through: your forwarding fees shown apart from government and port disbursements you advance.
Totals and terms: services subtotal, disbursements subtotal, tax on services, amount due, and how to pay (ACH, wire).
How to create a freight forwarding invoice, step by step
Add the invoice details: Give the invoice a unique number and an issue date, set the due date and payment terms (for example Net 30), and pick the currency and mode (Ocean FCL, Air, Multi-modal).
Enter your forwarder details: Add your company name, address, and contact, plus your tax ID and your FMC, IATA, or NVOCC number where it applies. This is the "from" on the invoice.
Add the bill-to client: Enter the party you are billing (shipper, consignee, or a third party) with their accounts-payable contact and account reference.
Fill in the shipment and routing: Add the HBL and MBL numbers, booking, container and seal, customs entry, and PO, then the routing: POL, POD, vessel or flight, ETD/ETA, and weight or CBM.
Add each charge and tag it: Add a line for every charge (ocean or air freight, drayage, THC, customs brokerage, documentation, demurrage), pick a category, and mark it a Service fee or a Pass-through disbursement.
Set tax, deposit, and payment: Enter a tax rate if services are taxable (it applies to services only), subtract any deposit, and add your remit-to or ACH instructions and who authorized the invoice.
Check the live preview: Confirm the totals on the right: services subtotal, disbursements subtotal, and total due. Fix any line, and the figures update instantly.
How to download your freight invoice
Choose a format in the toolbar: At the top of the tool, click Download PDF, Word, or Excel. PDF is best to send to a client's AP team, Word for your letterhead and edits, Excel for multi-leg disbursement math.
Enter your email once: The first download asks for your email to unlock all formats. After that, every download on this device is instant.
Open in Google Docs or Google Sheets: Prefer Google? Download the Word file and open it in Google Docs, or the Excel file and open it in Google Sheets from your Drive. The layout carries over.
Print or grab a blank template: Use Print to save as PDF from the browser, or download a blank PDF, Word, or Excel invoice from the download section to fill in later.
Save a draft to reuse: Click Save draft to keep the invoice in your browser, then load it next time and change only what differs for the next shipment.
Freight forwarder invoice vs other documents
Trucking / freight invoice: A carrier billing a flat linehaul plus fuel and accessorials. Single mode, no disbursements.
Commercial invoice: States the value of the goods for customs, not a bill for services. Use the commercial invoice generator.
Proforma invoice: A preliminary quote sent before the job is confirmed. Not a demand for payment.
Bill of lading: The carrier's receipt and contract of carriage, not an invoice. See the bill of lading generator.
How forwarders benefit, and why generic templates fall short
The free templates from invoicing apps are built for a trucker billing one flat rate. They have no place for an HBL, a customs entry, or a disbursement you advanced. This tool is shaped around the forwarder invoice instead.
Service fees separated from pass-throughs: Your margin stays visible and is taxed correctly, while port and customs disbursements pass through clean. Generic templates lump it all together.
Multi-modal in one invoice: Ocean or air linehaul, drayage, THC, brokerage, and documentation sit on one document tied to a single HBL.
Fewer billing disputes: Clear line items and references (HBL/MBL, container, entry) mean the client's AP team can reconcile the invoice without a back-and-forth.
A clean handoff to your system: The same shipment and charge data is what your accounting and AR run on, so it carries straight into CargoEZ with nothing re-keyed.

Frequently asked questions
Is this freight invoice generator free?
Yes. The generator and all downloads are free, with no account, watermark, or usage limit. Everything runs in your browser, so your shipment and billing data never leaves your device.
Can I use this freight invoice in Google Docs or Google Sheets?
Yes. Download the Word file and open it in Google Docs, or download the Excel file and open it in Google Sheets from your Drive. Both keep the layout and let you edit the invoice online.
What is the difference between a freight invoice and a commercial invoice?
A freight forwarder invoice bills the client for transport and services. A commercial invoice states the value of the goods for customs clearance. They are different documents for different purposes, and a shipment usually needs both.
How do I separate service fees from pass-through charges?
Mark each charge line as a Service fee or a Pass-through disbursement. The invoice totals them separately and applies tax only to your services, so your margin and the advanced costs stay clear.
What should a freight forwarding invoice include?
Your company and license details, a unique invoice number and due date, the client, shipment references (HBL/MBL, booking, container, customs entry), routing, itemized multi-modal charges, and totals with payment terms.
Can I download it as Word, Excel, or PDF?
Yes. Use the toolbar to export your filled invoice as PDF or Word, or download a blank PDF, Word, or Excel template to reuse.
